Due dates

  • There are three main types of due dates:

  • The due date for the project is the due date of all workflows for all workflow steps and all files in all languages.

  • This value must be manually entered by a Project Manager using this procedure for individual projects or this procedure for changing due dates on multiple projects simultaneously.

  • The due date for a particular workflow is always the due date of the final step in a workflow.

    Tip

    A unique workflow due date can be assigned for each source file and language combination that uses the same workflow within the same project using this procedure.

  • Due dates can be defined for each step in a workflow.

    Tip

    Due dates can be assigned per language and per file for each step in a workflow.

    Workflow step due dates can be manually entered for each workflow step or automatically calculated based on the workflow due date.

  • If workflow step due dates are not manually entered or auto-calculated by XTM, then the due dates will not be assigned to each linguist's task.

  • All three aforementioned due dates can be changed in bulk by following this procedure.

    Tip

    This method uses the Manage Projects selection in the project Actions menu.

    This reporting tool can change workflow and project due dates which are applied to all languages and source files. It doesn't change due dates for individual source files or languages.

    Workflow step due dates can only be changed from this tool if the Auto-calculate due dates for workflow steps option is checked within each individual project.Project due date field reference

  • All three aforementioned due dates can be changed on an individual project basis using this procedure.

    Tip

    This method uses the Project List and is more flexible as it can change all due dates down to the file, language, and workflow step level.

Due date notifications
  • There are two types of e-mail notifications that are sent as due dates approach or are exceeded:

    • An e-mail consisting of a list of all projects with jobs whose completion dates are approaching or are past due.

      The recipient will then log in to XTM and view the details of these projects within XTM using this procedure or export even more details using this procedure (project actions).

      Note

      These are sent to the Project Manager assigned to the project and all project watchers which are assigned to the customer,

    • A list of all individual jobs whose completion dates are approaching or are past due.

      Note

      If workflow step due dates are not manually entered or auto-calculated by XTM, then the due dates will not be assigned to each linguist's task.

      Note

      These are sent to the Linguists performing that particular job/task (I.e workflow step due date).

      In such a case linguists are advised to login into XTM and start a chat with their PM.

  • These e-mail notifications are sent daily at specific times. By default, they are sent twice a day at 9 AM and 9 PM UTC.

    Tip

    An Administrator can configure the specific time(s) of day that the notification e-mails are sent using this procedure.

  • E-mail notifications are sent for approaching deadlines an 'x' amount of days before the due date arrives (This is for all due date types).

    Tip

    An Administrator can configure this setting using this procedure. The default value is 2 days.
